With the understanding that individual needs will vary and the terms of particular management agreements will change accordingly, the following list of services are provided:

Advertising and Showing of Rental Properties

  • Over 90% of prospective Tenants look for homes on line. We make sure your home is marketed on well over a dozen local and regional sites that tenants use regularly.
  • We meet and show your property to qualified prospects pointing out the attractive features.
  • When possible, all effort is made to re rent the property prior to the previous tenant moving out, ensuring fewer vacant days and more income for our clients.

Prospective Tenants

We carefully screen prospective tenants for your property and perform all of the following:
  • All prospective tenants must complete a rental application. This is done on line and is paid for by the tenant.
  • Credit checks are performed through major credit bureaus on a nationwide basis. In addition, Background and Evictions checks are run on every applicant being considered for the property.
  • Income and employment history is verified with the prospective tenant’s employer. The prospective tenant must exhibit job stability and sufficient income to support the rent payment.

Tenant Agreements

  • The most current CAR (California Association of Realtors) forms are used with every Rental Agreement. We execute, along with the new tenant, a legally binding rental agreement with any needed addendums and required disclosures.
  • We collect the security deposit and first month’s rent prior to move-in, ensuring that funds are cleared before tenant access to the property. The security deposit is held in RCS Property Management Trust Account.
  • Every Tenant fills out a CAR Move In Move Out form (5 pages) to ensure accuracy regarding the condition of the property when the tenant moves in and then again when the tenant vacates. Notice is sent to the tenant 2 weeks prior to moving out that we will conduct a “walk through” with them to show them what they need to do to retain their deposit in full.
  • We review the property with the tenant and document by photo or in writing any pre-existing issues within 7 days or sooner of move-in.
  • We leave no doubt that rents are to be paid on time, your property is to be kept clean, House and / or HOA rules are to be followed and yards (if applicable) are to be maintained. Any problems are to be reported to us at once.

Rent Collections

  • All rents are due on the first of the month.
  • A telephone reminder is given if the rent is not paid by the fifth, along with a firm email and telephone calls from the office.
  • A 3-day notice to pay or quit (eviction notice) is served if rent is not in our office by the fifteenth (15th). Most tenants are conscientious about paying rents, and rarely is this extreme measure necessary. The 3-day notice normally results in the rent being brought in the next day, rather than an eviction.
  • Rents are deposited into the closely monitored Trust Account. You may choose for us to deposit the net rental proceeds directly into an account of your choice, or forward the check to you via US Mail.

Maintenance, Repair and Cleanings

  • We prepare vacant properties for occupancy quickly, performing any cleaning or minor repairs that may be necessary.
  • We use proven, reliable vendors who perform repairs quickly, and at reasonable prices.
  • In the event of a repair that may covered by your insurance policy, we contact your insurance company to confirm any coverage and coordinate appointments between tenant, insurance adjusters or repairmen.
  • We contact you for your authorization for any repair over the amount we set together before performing repairs

Record Keeping and Administration

  • Our records ease your tax preparation chores by providing accurate documentation for you to give your CPA.
  • You receive a monthly statement of income and expenses for each property we manage for you.
  • A separate trust account record, as required by law, is maintained for each of our managed properties.
  • All original invoices for work performed are sent to you directly.
  • If you wish, we can pay on your behalf: mortgage payments, utility payments, HOA fees and maintenance bills. Many property owners prefer to make their own mortgage payments.
